Special Conditions of Hire during COVID-19 and

STEP 4 restrictions updated JULY 2021

Note: These conditions are supplemental to, not a replacement for, the Hall’s ordinary conditions of hire.


Step 4 - Learning to Live with the virus July 2021

The Management Committee have to make informed decisions and act carefully and proportionally to manage risk to all. While legal restrictions will no longer apply, Government guidance will continue to be issued.



The Village Hall Management Committee are adhering to Government guidance that will set out how people can manage the risks to themselves and to others:


ALL VILLAGE HALL HIRERS i.e. Group leaders, Party Organisers are expected to ensure that they relay this information to everyone they are responsible for:


1. Meeting in well-ventilated areas where possible, such as outdoors or indoors with windows open.


 2. Wearing a face covering where you come into contact with people you don’t normally meet in enclosed and crowded spaces.


3. Washing your hands with soap and water or using hand sanitiser regularly throughout the day.


4. Covering your nose and mouth when you cough and sneeze.


5. Staying at home if unwell, to reduce the risk of passing on other illnesses onto friends, family, colleagues, and others in your community.


6. Considering individual risks, such as clinical vulnerabilities and vaccination


Special Condition of Hire 1:

You, the hirer, will be responsible for ensuring those attending your activity or event comply with the COVID-19 Guidelines while entering and occupying the Hall, in particular using the hand sanitiser supplied when entering the hall and after using tissues. Masks are advised to be worn in confined areas.



Each individual USER GROUP/HIRER will be responsible for cleaning door handles, chairs and tables and all surfaces likely to be used during your period of hire before other members of your group or organisation arrive and to keep the premises clean through regular cleaning of surfaces during your hire, paying particular attention to kitchen and toilet areas, using either the products supplied (in kitchen cupboards under sinks) or your own ordinary domestic products. You will be required to clean again on leaving.


Please note:  

The Hall will be cleaned daily by the Village Hall Cleaner but you will be responsible for cleaning all regularly used surfaces during your period of hire.


Please take care cleaning electrical equipment.  Use cloths - do not spray!





You will keep the premises well ventilated throughout your hire, with windows and doors open as far as convenient. You will be responsible for ensuring they are all securely closed on leaving.



You are asked to keep a record of the name and contact telephone number or email of all those who attend your event for a period of 3 weeks after the event and provide the record to NHS Track and Trace if required.



You will be responsible for the disposal of all rubbish created during your hire, including tissues and cleaning cloths, in the rubbish bags provided, in the kitchen cupboards under the sinks before you leave the hall, including emptying any bin used.



You will be responsible, if drinks or food are made, for ensuring that all crockery and cutlery is washed in hot soapy water, dried and stored away. Crockery is available in kitchen cupboards for up to 15 people, you will need to provide disposable cups etc for numbers above that. You must bring your own clean tea towels, so as to reduce risk of contamination between hirers, and take them away. We will provide washing up liquid and washing up cloths.



We will have the right to close the Hall if there are safety concerns relating to COVID-19, for example, if someone who has attended the Hall develops symptoms and thorough cleansing is required or if it is reported that the Special Hiring Conditions above are not being complied with, whether by you or by other hirers, or in the event that public buildings are asked or required to close again.  If this is necessary, we will do our best to inform you promptly and you will not be charged for this hire.



In the event of someone becoming unwell with suspected Covid-19 symptoms while at the hall you should remove them to a safe area. Provide tissues and a bin or plastic bag, and a bowl of warm soapy water for handwashing. Ask others in your group to provide contact details if you do not have them and then leave the premises, observing the usual hand sanitising and social distancing precautions, and advise them to launder their clothes when they arrive home.                                                                                                                        Inform the Hall Manager, Chris Lawrence, IMMEDIATELY, contact no:  07714 257 391
